How to collect field data with the fleXipod electronic proof of delivery system

Using proof of delivery systems, mobile workforce operations of all sizes can improve on-site customer service and capture detailed proof of delivery data about each delivery.

Systems with advanced data capture functionality can also be used to collect a range of non-delivery information such as mileage recording, risk assessments, vehicle checklists and accident reporting. Whether you are delivering products or services, you can proactively manage mobile teams and collate field data for continuous operational efficiency improvements.

So how does the fleXipod system improve data capture in the field?

With the easy to use fleXipod forms functionality you can create as many business specific electronic questionnaires as your operation requires. Each form can include a range of advanced data capture points such as photo capture, numerical values and checkboxes, to cover all of the information you need to record. These forms are then transmitted to the fleXipod proof of delivery app allowing your field operatives to collect both advanced proof of delivery data and further operational information beyond the on-site customer encounter.

Finalised forms are presented to your mobile workers using a choice of on-site and non-delivery specific trigger points within the app. If a form is marked as compulsory, field operatives will not be able to progress within the app until the form has been completed; ensuring the data you require is collected consistently no matter the size of your fleet.

Here are some examples of how you can use fleXipod forms to collect operational data:

  • A vehicle checklist form can be triggered at log on
  • Risk assessments can be presented at the start of each job
  • Ad hoc forms can be set up for accident reporting or to collect lunch break data
  • Start and end manifest trigger points can be used to record mileage information for each route

Upon completion the data from each form is transmitted in real-time to the fleXipod central management console where office-based teams can take any necessary actions to better manage mobile teams. Exception alerting functionality is also available to immediately notify central staff of any business specific circumstances that you wish to flag as high priority. For example, an alert could be configured to notify office-based teams if, while completing a vehicle checklist, a mobile worker answers ‘No’ when asked if the lights on their vehicle are functioning correctly.
